  228.  ■ INTRODUCTION

  230.       DAYO Orders creates sales orders based on the DAYO Inventory,
  231.   Customer, and other DAYO databases. Orders can be printed on a standard
  232.   printer or a Hewlett Packard (tm) Laserjet compatible printer. The order can
  233.   be printed on a pre-printed form, on the Laser printer in a special laser
  234.   format, or as a standard/default form. This application is multiuser; capable
  235.   of supporting many users when used on a PC based LAN/Network. It can, however
  236.   be run (like all DAYO products), as a 'standalone' application. DAYO Orders
  237.   closely models itself after the DAYO POS (Point of Sale) application, and is
  238.   totally integrated with that application.

  324.       To setup DAYO Orders, copy the contents of the DAYO Orders floppy disks
  325.   into a directory on your hard disk (ie: \DAYOORD). If this is the Shareware
  326.   Version, you need to UnZip/UnArc the files here. When you run DAYO Orders
  327.   for the first time, it will create all the database, index, and configuration
  328.   files it requires for operation. If you are using other DAYO modules, be sure
  329.   to enter the location of these databases into the DAYO Orders configuration.
  330.   Type and enter 'DAYOQ' at the DOS prompt to run the program (ie:  C:\DAYOQ).

  406.       Orders are created by first selecting a customer, then selecting the
  407.   detail line items, or by recalling/adding a template.

  411.  ■ KEY ORDER CONFIGURATION SETTINGS
  412.  
  413.       Many configurations can be made that affect the Orders process. The
  414.   following configuration settings are the key ones. These settings should be  
  415.   determined and set prior to any creation of Orders! Be sure you understand
  416.   each option before creating your first order. The default settings may not
  417.   be what you require!
  418.                                                                                
  419.    Auto Print Order       - Prints Order automatically after completion.
  420.                             Defaults to 'Y'                                    
  421.    Last Order Number      - Your Order numbers will start (default) at '1'
  422.                             unless you change this                             
  423.    Order Printer Type     - You can select 1 of 3 Order printout types:
  424.                             Standard, HP Laser, or Pre Printed                 
  425.                             Defaults to STANDARD                               
  426.    Order Printer Port     - Defaults to LPT1
  427.    Order Copies           - Defaults to 1
  428.    Default Tax Code       - Customers with no TAXRATE will receive the sales   
  429.                             tax rate associated with this tax code. Defaults to
  430.                             '1'                                                
  431.    Default Order Type     - This becomes the default TYPE (ie: REG), for
  432.                             customers with no TYPE field entered in their      
  433.                             customer records. Defaults to 'REG'

  457.       To make it possible for you to create an Order, you must have at least
  458.   one customer and one item in your inventory. Key fields these customer and
  459.   inventory records greatly affect the Orders process.
  460.                                                                                
  461.   For instance, the inventory database (INV.DBF) has the following key fields:

  463.       The PRICE field obviously determines what is to be charged the customer/ 
  464.   client. The only exception to this is the DAYO Price Book pricing methods.   
  465.                                                                                
  466.       Inventory items can be TAXABLE or not.                                   
  467.                                                                                
  468.   Apart from the obvious benefit of having the customers name and address, the 
  469.   customer database (CUSTOMER.DBF) also has its important order related fields:
  470.                                                                                
  471.       The tax rate field (TAXRATE) field determines the sales tax rate to be   
  472.   charged this customer/client.                                                
  473.                                                                                
  474.       The TERMS field determines how the customer/client is to pay (or not to  
  475.   pay), for the items. For example, a CASH terms customer will pay
  476.   'on the spot', whereas a customer with terms of 'NET 30' has thirty days to
  477.   make payment for the order (later made into an invoice).
  478.                                                                                
  479.       The SHIPPER field alerts you to how the customer wants the items shipped 
  480.   to him.                                                                      
  481.                                                                                
  482.       The TYPE field is perhaps the most important. It is this field that      
  483.   determines how the order data will be posted to the databases after it gets
  484.   invoiced. There are 8 default order/invoice types, but more can be added. It
  485.   is imperative that these default TYPE entries NOT be altered. Any additional
  486.   TYPE entries will be handled (posted), just like the REG (Regular Sale) type.

  981.       If so configured ('Allow Browse Edit'), you can mark Order detail
  982.   records for deletion by pressing 'Ctrl U'. Use this option to remove unwanted
  983.   records from the ORDERSD.DBF. Remove deleted records with the PACK option
  984.   in the MISC Routines menu. Be sure to reindex after the PACK!

  988.  ■ TEMPLATES
  989.  
  990.       'Templates' is the DAYO term for a collection of detail line items
  991.   that can be easily added to an Order. Templates can be created to contain
  992.   a set of items that in turn create a bundle, 'bill of material', or just a   
  993.   group of commonly sold items.                                                
  994.                                                                                
  995.       Creating templates is accomplished by selecting the fourth ORDER menu
  996.   option ('BROWSE/CREATE TEMPLATE'). The TEMPLATE browse screen contains a     
  997.   box atop the page with all the key item information. The lower part of the   
  998.   screen is just your normal DAYO browse screen.

  3786.  - After using DAYO Orders for a any period of time, you will need to 'clean
  3787.    out' deleted and unneeded Orders from the databases: ORDERS.DBF and
  3788.    ORDERSD.DBF. This task can be accomplished by deleting the records from a
  3789.    browse screen, then performing the 'PACK' option from the MISC ROUTINES.
  3790.    Prior to performing this 'clean up', be sure to do a good backup of the
  3791.    Orders databases. The backup is especially important since you will be
  3792.    permanently removing the records.
  3793.                                                                                
  3794.  - On occasion (maybe an under statement), index files will get corrupted,
  3795.    especially on networks. To 'fix' a corrupted index requires that everyone   
  3796.    'get out of' the DAYO databases, and then perform a reindexing (actually a  
  3797.    recreation of the indexes). The reindex is accomplished by running the DAYO 
  3798.    Orders program with a parameter of 'INDEX' (or using DAYO X).

  3804.  - If you are on a multiuser network, you must 'flag' (change file attributes) 
  3805.    of all files to make them sharable, readable and writable. Note that the
  3806.    command/program 'flag' may be called by a different name on your network.

  3818.  - Indexes are recreated once every day. This is automatically performed by the
  3819.    first user to run DAYO Orders. This process will take more time as your
  3820.    files get larger. This process should take place daily, but you can run it
  3821.    at night with a batch file that waits until after midnight (ie: DAYO Clock),
  3822.    or a with most scheduling programs. All other users and computers must be   
  3823.    out of the databases, or the procedure will not occur properly. Remember to 
  3824.    'flag' the files sharable, readable and writable.

  3827.  - Backups of your data and configuration files should take place daily! You   
  3828.    have no doubt heard many scare stories. They are all true! The key files    
  3829.    that need to be backed up all have the extension of .DBF, and .CFG. The
  3830.    .DBF files are your databases. The .CFG file(s) contain your configuration
  3831.    information (as seen in the Configuration module).

  3837.  - If you are on a network, It is NOT recommended that you use dBase III+ with 
  3838.    the databases. It may write an end of file marker not always recognized by  
  3839.    DAYO. Appending additional records to the database after this point often   
  3840.    leads/creates a 'bad record' in the database.                               
  3841.                                                                                
  3842.  - If you must use dBase (tm) with DAYO Orders, and you are on a PC based
  3843.    network/LAN, be sure to SET EXCLUSIVE OFF before you open ANY databases.
  3844.    This will allow the opened databases to be shared, and more importantly,
  3845.    prevent a user (or all users!) from 'crashing'!
  3846.  
  3847.  - If the SIMPLE EDITOR tends to 'hang' your CPU, even on small files, then
  3848.    do not use it... Hope to fix this 'feature' with the next upgrade...
  3849.  
  3850.  - If you require an additional decimal for your taxrate (ie: 0.0625), then
  3851.    you will have to modify the TAXRATE field in the databases TAXCODES.DBF,
  3852.    INVOICE.DBF, ORDERS.DBF, CUSTOMER.DBF, ARH.DBF. Use the MODIFY DATABASE
  3853.    option in the MISC ROUTINES to change the length from 5 to 6, and the
  3854.    number of decimals from 3 to 4.
